Camber is seeking an Office Manager (OM) ( Secret Clearance Required ) to provide Admin Management Support to the Air Force Agency for Modeling and Simulation (AFAMS) as the AFAMS OM.

Requirements: The contractor will be responsible for maintaining situational awareness of all agency activities as well as the organization and coordination of office operations, procedures and resources to facilitate efficient and effective daily operations. The primary duty of the OM will be to provide administrative services to maintain operations tempo, facilitate information exchange and promote collaboration to accomplish the mission

Duties will include but not be limited to the following support to the USAF Mod/Sim Agency: ( Active Secret Clearance Required)

  • Assign, monitor and track tasks and suspense’s

  • Assist with timecard preparation and review

  • Manage and coordinate information between the divisions

  • Ensure security, integrity and confidentiality of information e.g. FOUO, PII, CUI

  • Analyze and monitor internal processes

  • Assemble, copy, fax and scan a variety of materials and ensure proper distribution of copies as required

  • Maintaining a variety of office logs, files and file plans

  • Monitor procedures for record keeping

  • Manage and maintain complex schedules and calendars including an overall organizational master calendar

  • Coordinate schedules, appointments and bookings

  • Greet visitors, answer main office and call box phone calls, and take messages as required

  • Maintain staff directories and organizational charts

  • Prepare, write, and edit a variety of correspondence including emails, letters, and memos

  • Prepare, create, format, and edit spreadsheets, presentations, charts, and staff packages

  • Assist with performing searches of electronic and hardcopy files and databases for records, supportive data, and historical documents

  • Assist in preparing or drafting initial correspondence in response to requests and in preparing an array of other documents for release in response to requests

  • Submit and follow up on requests for services (e.g. telephone, facility key requests, help desk, etc.)

  • Arrange for facility and vehicle services

  • Prepare all types of travel orders using the Defense Travel System (DTS)

  • Prepare vouchers and make travel arrangements

  • Research and answer general travel related questions

  • Coordinate with travel office to make travel arrangements

  • Maintain travel associated files

  • Assist with timecard preparation, review and ATAAPS system

  • Organize meetings, workshops, working groups, and conferences including reserving internal and external conference spaces, scheduling VTC/SVTC equipment, and requesting VTC/SVTC equipment support as required

  • Prepare and send invitations, agendas, and support documents for events as required

  • Coordinate logistical and administrative arrangements for guest speakers and meeting attendees

  • Provide support during meetings, workshops, working groups and conferences including the handling of physical and electronic audiovisual displays, taking meeting minutes, combining multiple independently scribed notes, and following up with summary minutes or reports from events

  • Receive and process incoming mail including preparing requests for shipments by FedEx, UPS, USPS, other priority mail services and couriers

  • Maintain office supplies

  • Maintain Patrick AFB supply store accounts

  • Prepare purchase requests for office supplies, equipment, and services

  • Answer questions and investigate discrepancies related to purchases

  • Assist with tracking and maintaining associated files related to purchases

  • Request property passes and property transfers

  • Answer questions, assist with tracking, and maintain associated files for supplies and equipment

Desired Experience/qualifications : Bachelor of Science or Arts in business or equivalent (desired). Associates Degree or high school diploma with 5 or more years of administrative experience. Knowledge of accounting, data and administrative management practices and procedures. Knowledge of clerical practices and procedures, Knowledge of human resources management practices and procedures. Knowledge of business and management principles. Computer skills and knowledge of Microsoft and other office software packages

Security Clearance : Secret Required / The selected applicants will be subject to a security investigation and must meet eligibility requirements for access to classified information.
